Clean Fresh Air Services

Privacy Policy

Last updated: October 13, 2026

Clean Fresh Air Services is a small Canadian duct-cleaning company serving the Greater Toronto Area. When you book with us, you trust us with your name, your phone number, and your home address — so it's only fair we explain exactly what happens to that information. This page is written plainly, in everyday English, so you can read it in a few minutes and know where you stand. We follow Canada's federal privacy law (PIPEDA) and only collect what we need to do the job.

What we collect

When you send us a booking request through the form on our homepage, we ask you for:

  • Your full name
  • Your phone number
  • Your email address
  • Your home address, including an optional unit or apartment number
  • The approximate size of your home
  • Your type of residence (for example, a house or a rental)
  • The package you choose
  • Any optional notes you choose to share (gate codes, parking quirks, things you want the technician to know)
  • Optionally, the best times for us to call you

Submitting the form doesn't lock in a date. We call you to agree on a time that works, then schedule the appointment.

We also receive a small amount of automatic technical data from your browser — your IP address, browser type, and the pages you visited on our site. This is standard for any website and is used for security and basic troubleshooting. We also measure how the site is used, as described under “Cookies and analytics” below.

How we use it

We use your information to:

  • Call you to schedule your appointment at a time that suits you
  • Email you a confirmation that we received your request, and any reminders before service
  • Show up at the right address, on the right day, prepared
  • Send you an invoice after the work is done
  • Keep tax-compliant records of the booking
  • Protect the form from spam and automated abuse
  • Understand how visitors use the site so we can fix problems and make it easier to use
  • From time to time, send you a relevant seasonal offer or a piece of helpful information about indoor air quality, maintenance tips, or new services we offer — only ever from us, not from any third party

We don't sell your information, and we don't rent it to anyone. If you'd rather not hear from us between appointments, you can opt out at any time — see “Your rights” below.

Who we share it with

To run this website and the booking request flow, a handful of trusted third-party services see parts of your information. Each one has its own privacy policy, linked below.

  • Resend — delivers our transactional email. When you submit a booking request, Resend sends you the confirmation email and sends a copy of your request to our info@cleanfreshair.ca inbox so we can call you. Resend processes the contents of those emails and keeps delivery logs for a limited time under its own policy. We don't use it for marketing. Resend privacy policy.
  • Google Maps Platform (Places API) — powers address autocomplete. When you start typing your address into the form, what you type is sent to Google so it can return matching address suggestions. We don't store the in-progress text on our end; Google retains it under its own policy. Google privacy policy.
  • Google Workspace (Gmail & Calendar) — our info@cleanfreshair.ca inbox runs on Gmail, so your booking request notification and any email you send us are stored there. Once we've scheduled your appointment by phone, it goes on our internal Google Calendar so the technician knows when and where to go. Google privacy policy.
  • Cloudflare Turnstile — bot protection. It quietly checks that the form is being submitted by a real person and not a bot. It looks at things like your browser fingerprint, IP address, and mouse or touch patterns. We never see the fingerprint; Cloudflare retains it briefly under its own policy. Cloudflare privacy policy.
  • Vercel — hosts this website and runs the server code that handles your booking request. Standard server logs (IP, browser type, URL visited, response code) are kept for roughly 30 days and then automatically rotated out. We also use Vercel Web Analytics, which counts page views and visits in aggregate without cookies (see “Cookies and analytics” below). Vercel privacy policy.
  • Microsoft Clarity — shows us how visitors use the site through heatmaps and session replays (see “Cookies and analytics” below). Microsoft privacy statement.

Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We choose providers that protect information under their own security programs and only share what each one needs to do its job.

How long we keep it

We keep your booking details and invoices for seven years. That matches the retention period the Canada Revenue Agency requires for business tax records.

Server logs (Vercel) and bot-detection signals (Cloudflare) are kept for about 30 days and then automatically discarded by those providers. Email delivery logs (Resend) and analytics data (Vercel, Microsoft Clarity) are kept for limited periods set by those providers. We don't control those schedules.

If you'd like your information removed sooner, see “Your rights” below.

Your rights

Under PIPEDA, you have the right to:

  • Ask what information we hold about you
  • Ask us to correct anything that's wrong
  • Ask us to delete your information (subject to the 7-year tax record exception above)
  • Withdraw consent for future contact at any time

To exercise any of these rights, email info@cleanfreshair.ca from the address you used to book. We'll get back to you within a few business days.

Cookies and analytics

We use two analytics tools to understand how the site is used. We don't use advertising cookies, and we don't sell or share analytics data for advertising.

  • Vercel Web Analytics — counts page views, referring sites, and device and browser types in aggregate. It doesn't use cookies and doesn't build a profile of you across sites or across days.
  • Microsoft Clarity — records how visitors move through the site (clicks, scrolling, mouse and touch movement) so we can see heatmaps and replay sessions to find confusing spots and bugs. Clarity uses cookies to recognize a returning browser. What you type into form fields — your name, phone number, email, address, and notes — is masked before it leaves your browser, so it isn't captured in recordings. Microsoft processes this data as described in the Microsoft privacy statement.

Opting out: you can stop Clarity from tracking you by blocking cookies for this site (or for clarity.ms) in your browser settings, or by using a browser or extension that blocks trackers. The site, including the booking form, works normally either way.

Cloudflare Turnstile also runs on the booking form to confirm you're a real person, as described above. If we add any other tracking tools, we'll update this page and refresh the “Last updated” date at the top.

Children’s privacy

Our service is meant for homeowners and renters booking duct cleaning. It is not directed at children under 13, and we don't knowingly collect information from anyone under 13. If you believe a child has submitted information through our form, email us and we'll delete it.

Changes to this policy

If we change how we handle information — for example, if we add a new tool that touches customer data — we'll update this page and refresh the “Last updated” date at the top. There are no separate notifications.
